Importing Contacts and Leads

Forefront now supports two types of imports: Leads with Contacts and Contacts Only.
This guide will walk you through the process of importing both types and ensure your data is correctly validated and duplicated entries are managed effectively.

Import Types

To navigate to your imports you will need to go to your Settings (Highlighted in red) > Imports (Highlighted in green.) If you right click on the image and select “Open image in new tab” this will enable you to take a closer look at each image.

A single CSV file can work for both import types, but make sure to select the appropriate import type during the import process.

  1. Leads with Contacts: Use this option to import leads that include detailed contact information.
  2. Contacts Only: Use this option when you need to import standalone contact information without associating it with a lead.

Steps to Import Contacts and Leads

1. Preparing Your CSV File

  • Open your original CSV file that you would like to import and leave it open for now
  • In your Forefront account, navigate to Settings > Imports
  • Download the Forefront Sample CSV file
  • Open Forefront Sample CSV file

    • The first row highlighted in the image below is the default headers and these are your Lead fields and Contact fields in your Forefront account.

    • The second row highlighted in the image below is set as an example. You may delete the second row after you’ve transferred your original import file to the sample file.
  • Format the sample file correctly by matching the columns with the required fields such as name, phone, email, address that you can find in your original file. In the example image below, the information on the right hand side (Original file), will be transferred to the worksheet on the left hand side (Sample CSV file that was downloaded from Forefront Imports page, this is highlighted with a red rectangle.)

2. Importing Leads with Contacts

  1. Navigate to Settings > Import
  2. Select Leads with Contacts as the import type.
  3. Upload the sample CSV file.
  4. The system will process the file and create lead records with associated contacts.
    1. It will upload in Leads page and Contacts page.
  5. If duplicates are detected (based on email or phone number), those entries will not be imported, and a warning will be displayed.

3. Importing Contacts Only

  1. Navigate to Settings > Import.
  2. Select Contacts Only as the import type.
  3. Upload the sample CSV file.
  4. The system will process the file and create contact records.
    1. It will upload in Contacts page only.
  5. If duplicates are detected (based on email or phone number), those entries will not be imported, and a warning will be displayed.

Duplicate Management

  1. Duplicate Detection: During the import process, the system checks for duplicates based on existing records in the CRM.
  2. Warnings: If duplicates are found, a warning will be displayed indicating the specific records that were not imported.
  3. Validation: After importing, you can view the detailed validation results showing which records were flagged as duplicates and were not imported. Here you will find out if whether the validation was successful or if any errors occurred that needs correcting as shown in the image below. Note that you may need to scroll down for multiple errors.

7-day Rollback Functionality

You are given 7 days if you need to undo an import:

  1. Select the import batch you want to rollback.
  2. Confirm the rollback. The system will delete all records created in that import batch.

Best Practices

  • Validation: Always check the validation results after an import to ensure all records are correctly imported and duplicates are managed.
  • Backup: Keep a backup of your CSV files before importing, in case you need to refer to them later.
  • Field Mapping: Ensure that the fields in your CSV file match the fields in your CRM to avoid any import errors.
