Forefront Email (Connecting your Custom Domain Email)

Using a custom domain with your own email host with Forefront gives you the edge to send attachments and track individual stats of the emails you send out!

By allowing Forefront to use your custom domain you will now be able to Send/ Receive emails and use individual emails instead of one generic email for all your communication, You will also have the ability to send attachments via Forefront.

Note: All access levels have the ability to the process below, but only the person who has the ability to Manage the DNS Servers of your domain can add the following information, it is recommended to have this personnel set up your email as well together with the pieces of information below like the forwarding address for your email, etc. This person will require access to your email temporarily to accomplish this setup.

To start connecting your email, click on Settings, and inside the Settings section look for Email Settings.

This will be the next screen that you will be presented with, you will be provided with 2 options, to connect a Custom domain that is preferred or Connect your Gmail account.

The difference between the 2 items is stated in this article (Forefront Email Getting Started) Once again before we proceed please read the article in getting started for Forefront Emails, There are pre-requisites for having a custom domain.

  • Forefront will not provide you a custom domain
  • Forefront will not provide you an email client
  • Custom domains and Email clients/providers are not part of your subscription, your company must have your own custom domain.

In this article, we will connect a custom domain. To begin click on “Choose custom Domain

After clicking on custom domain, paste or type in the custom domain that you will be using for emails. For this example we will be using as our custom domain.

Once you have the domain entered in the Domain name field, click on “Save Domain” from there you will be provided with a set of information and data that you would need to input inside your custom domain and email provider.

These are the 2 sections that you will see.

  • Email Addresses– This is where you will be entering the email addresses(es) for you and your team members this will only be available once you have successfully verified your DNS.

Important note: each domain host/ provider have their own process and procedure on how to add DNS records, they are mostly similar to each other but their design and interface will always be different, as mentioned in our Quickstart guide this requires technical knowledge or at least assistance with someone who knows what needs to be done. Once you have successfully added the DNS records provided by Forefront in your Domain host/ Provider click on “Verify DNS” if you are successful a notification at the bottom of Forefront will confirm that it was successful and the Email Addresses section will be available.

Important Note: While changes to DNS records usually take an hour or so it may take up to 24 hours to update.

You will now be able to start entering details for the email address(es) that you will be using in the system.

Important note: As previously stated you are required to have an email client/provider to proceed. if you already have one, choose the first option.

Once that’s settled you can now start adding the email address(es) in the second line. Once you have entered and saved the email address the third field for the email forwarder will now be available.

To complete the third option you would add the Forwarding email address from Forefront, this allows the emails to flow through from your email directly to Forefront.

Important Note: Emails are only stored inside Forefront if you proceed, this is stated in the QuickStart guide. Similar to Domain Providers/ Host setting an email forwarding address is different per company, we created a short article on how to set this up with the most commonly used email providers/clients.

Setting up Forwarding address in Gmail

If you use Gmail for your custom domain then please follow the following steps to properly set up email forwarding.

Once you have your forwarding address you will need to head to the correct Gmail account and click the settings icon in the top right of your screen and click “See all settings.”

After you have opened your settings you will need to click on the “Add a forwarding address” button and paste the forwarding address from Forefront into the prompt. A new window will open up and you will need to click proceed. Gmail will then notify you of a code, you can find this code in Forefront at the same place as the forwarding address. You will then paste that code into the new text box in Gmail and click verify.

Before leaving Gmail ensure that you turn on email forwarding as its is set to off by default. It is very important that after you turn forwarding on you click “Save changes” at the bottom of the screen.

Finally, all you need to do is click verify in Forefront and wait for the verification process to finish.

There will be a different email forwarding address per email and per email address added in the system, each person using that email address must add the forwarding address according to their process

After setting up the Forwarding email, we just need to verify if the email works correctly, all you have to do is click verify beside the forwarding address.

Once you click the verify button it will start verifying it, it will take about 3-5 minutes until you get an email from Forefront confirming that the verification was successful, if no email was received that means the verification failed which means you would need to re-check your set-up.

Once you have completed the set up you can start testing it by sending emails by creating a sample lead!


  • If you are making changes to the DNS records or email addresses that you are adding, make sure to click “Verify DNS” each time changes are made this allows Forefront and your Domain and Email host/provider to re-sync the data on the servers. This includes adding email address to each of the users, it is best to click “Verify DNS” before Verifying the “Forwarding Email”

NOTICE: If you test your email and receive a bounce-back error when replying to the email you sent, this would mean that the DNS settings are still syncing please give it some time, the shortest time this would sync is within 1 hour and the longest will be 24 hours. If 24 hours have passed and you are having issues with your email please reach out to us, Please remember that your DNS SHOULD ALL BE VERIFIED FIRST as mentioned in this article, if not please reach out to your Domain host/ provider.
