Answering Sequences

Answering sequences allow you to create a specialized call flow whenever someone calls your Forefront numbers, Answerins sequences are required for a Forefront Phone to work.

Before you buy a Forefront number or Port over your phone number(s) into Forefront make sure to create an Answering sequence.

To access your answering sequences click on Settings >> Phone Settings>> Answering sequences.

From there click on “Add Answering Sequence” then you will be presented with a box asking for a “Label” for the answering sequence, which can be any label you’d like, and a switch to “Record Incoming Calls” (It is recommended to turn this on). Then click on create, the answering sequence you’ve just created will appear on the list.

Inside the list look for the Answering sequence you created and click on Manage, you will have a pop-up screen where you can now add the steps for your answering sequence.

The Options for the Answering sequences are as follows:

Greeting/ Message to Caller

Play a message to the caller. Frequently used to notify the caller about call recording.

Dial

Choose a user or phone agent with a working phone number from the drop down and Forefront will dial that number.

Simultaneous Ring

We’ll dial all selected users and phone agents at the same time. The first person to answer will be connected to the caller.

Voicemail

This will end the call and any steps after this step will be ignored.

Just click on Choose so you can select which step you’d like to add in the Answering Sequence.

Greeting/ Message to Caller

When you click on choose you have the option to have an AI voice just read out the text you add in there as the greeting or make a recording yourself, the recording must be a .mp3 file and less than 2MB, here is a website to create a .mp3 https://online-voice-recorder.com/, once you have the file ready just click on upload and upload the recording, also make sure to add a label to it. Once the file has been uploaded, make sure to click on “Choose” to select your recording as the greeting/message to caller and click on Create.

Dial

When you click on forward to, you can select a user or phone agent with a working phone number to be dialed, you can also choose the number of seconds before it proceeds to the next step (Note: if you are forwarding this to a phone that has its own voicemail and the next step is the Forefront voicemail it is recommended to either set the number of seconds to 15 or 20 seconds in order for the Forefront Phone voicemail to kick in or turn off the Voicemail of the phone being dialed)

Simultaneous Ring

It is the same as dial, but this time it can dial multiple users and phone agents, and anyone can pick up the call.

Voicemail

With voicemail, it is the same Idea as the Greeting, you can have a generic voice read a text or you can set up a recording for it. This will be the Forefront voicemail where their voicemail will appear in the Logs of Forefront and you can listen to it or download it as needed.

And that’s it! Your Forefront number can now be used. You can always modify and change this as you please, but remember this is required for all phone numbers.

Note: Please be aware that there will be steps that cannot be used or cannot be used consecutively, an error saying “Step will be ignored” which means that your specific set up of Steps will not work, and you would need to change it until that error goes away.
